DIRECTOR OF OPERATIONS & PROCUREMENT
(Reports to Principal & Partner, FLSA Exempt, 5+ years of experience.)
THE OPPORTUNITY
This is a dual mandate: run the operational engine of a boutique firm and lead FF&E procurement across a portfolio of luxury residential and hospitality projects. You’ll report directly to the Principal and Partners and work across every department — equal parts strategist, builder, and executor.
OPERATIONS — WHAT YOU’LL OWN
- Design and continuously refine company-wide SOPs — building out an office playbook and optimizing Asana automations that make the studio run without friction.
- Lead human resources operations: payroll, onboarding, benefits, time tracking, and serving as the go-to liaison between staff and leadership.
- Oversee financial administration — monthly billing reviews, client payment processing, project allowance tracking, and partnering with accounting on reconciliations.
- Keep the firm resourced and staffed: maintain quarterly staffing sheets, project timelines, and assist in drafting proposals and contract addenda.
- Manage company-wide renewals — insurance, benefits packages, and software agreements — proactively, so nothing lapses.
PROCUREMENT — WHAT YOU’LL OWN
- Lead full-cycle FF&E procurement across multiple concurrent projects — from proposals and purchase orders through to final delivery and installation.
- Own project logistics end-to-end: expediting, inventory management, warehouse coordination, and weekly status reporting to keep every stakeholder informed.
- Manage project financials in close partnership with the design team — budgets, fund requests, markup tracking, account transfers, and invoicing.
- Maintain rigorous financial records: weekly bank reconciliation reviews and monthly audits of WIP, client deposit, and vendor deposit reports.
- Keep Asana procurement and expediting boards current, and communicate progress clearly so the whole team always knows where every order stands.
WHO YOU ARE — REQUIRED
- Bachelor’s in Business, Finance, or a related field
- 5+ years in operations or procurement within interior design or architecture
- Proven FF&E procurement and vendor management experience
- Proficiency in Microsoft Office, Google Workspace, Asana, and Design Manager
- High-level budgeting, forecasting, and financial reconciliation skills
- Exceptional written, verbal, and organizational communication skills
WHO YOU ARE — PREFERRED
- Background in a boutique interior design firm a plus
- Familiarity with luxury residential and boutique hospitality workflows
- Experience supervising administrative or procurement staff
- Genuine investment in design culture and craft

LOCATION
Los Angeles, CA, 4-day in-office and 1-day remote
COMPENSATION
Competitive; $90,000 – $120,000 annually, commensurate with experience (CA SB 1162)
